1. What this is about – and who is responsible
OS Facility is the staff app for the OSF facility management system. Staff use it to report faults, handle technical and cleaning orders and look up information on installations.
- The controller is the organisation that uses OSF (usually your employer, e.g. a hospital): it runs the OSF instance, creates the user accounts and decides how long data is kept.
- The app is provided by Neutronix GmbH, Bahnhofstrasse 45, 4622 Egerkingen, Switzerland, info@neutronix.ch. Where Neutronix runs the OSF instance for your organisation, it processes the data solely on its behalf (processor). The demo instance facility.osboard.gmbh with fictitious data is run by Neutronix itself.

We do not collect: location (GPS), contacts, call logs, advertising ID, usage statistics. The app contains no ads, no tracking and no analytics.
3. Device permissions and features
- NFC: only when you choose "tap badge" or "NFC". The app reads only the identifier (UID) of the badge or tag, no other content.
- QR codes: read with the Google code scanner of Google Play services; the camera image is processed on the device and not sent to the app or to Neutronix. The app itself has no camera permission.
- Photos: taken with your device's camera app; a photo is only transmitted if you attach it to a report and send it.
- Stored on the device: the server address and the session key (token). They are excluded from cloud backups and device transfers. "Sign out" deletes the session key; a session expires after 12 hours by default.
4. Transmission and recipients
The app communicates exclusively encrypted (HTTPS) with your organisation's OSF server (default: facility.osboard.gmbh; organisations with their own installation enter their address). Servers run by Neutronix are located in a data centre in Germany (Hetzner Online GmbH). Within your organisation, authorised persons (e.g. technical services, management, cleaning) see the data they need for their tasks. If OSF is connected to your organisation's OSBoard clinical system, e.g. the cleaning status of a bed is sent there. Data is not passed on to third parties for their own purposes.
5. Retention and deletion
How long reports, order and time data are kept is decided by your organisation (e.g. for maintenance and inspection records). User accounts are managed by your organisation; when your employment ends, it deactivates or deletes your account. How to request deletion: Delete account and data.
6. Your rights
Under the Swiss FADP and – where applicable – the GDPR you have the right of access, rectification, erasure, restriction, data portability and objection. Please contact your organisation first (OSF administration or data protection office); requests sent to info@neutronix.ch are forwarded to your organisation. You may lodge a complaint with the FDPIC or a competent supervisory authority.
7. Changes
